Caltrans Rates

New Caltrans Equipment Rental Rates and Labor Surcharge Rates are usually published by Caltrans effective April 1st of each year. There has been a mid year correction updates in the past. That book has what we call Current Rates can be found at the Caltrans website:  http://www.dot.ca.gov/hq/construc/equipmnt.html
 

Then there are the Miscellaneous Rates - Equipment rates NOT in this book are posted by Caltrans on their website at http://www.dot.ca.gov/hq/construc/misceqrr/. These rates all expire every time the “Current Rates” are published in those PDF documents.
 

These Miscellaneous Rates are not automatically updated when the new Current Rates are issued.

To get an updated rate for a Miscellaneous Rate, it has to be requested by a contractor at the link below, but only if it is for equipment used on a Caltrans job doing extra work activity via the Project Field Office. Caltrans will not update the rates otherwise.

Miscellaneous Equipment Rental Rates and Labor Surcharge Request

When a contractor received a Rate Update Sheet from Caltrans there is an Issue Date on the top right corner. Caltrans updates their system with this updated rate the business morning after. At that point, we update the Miscellanous Rates in our system sometime every morning depending on when Caltrans posts the new information.
 

All rates are identified by the Class, Make, and Model (Caltrans call this Code) rate codes. We categorize these with a Rate Type code of C for Current Rates and M for Miscellaneous Rates.
 

In EWBills, by April 1st of each year we add the new updated Caltrans Current Rates in our system and update the rate file daily with any published changes to miscellaneous rates. We maintain all the rate books back to 1998. The daily updates of Miscellaneous Rates can be for previous rate periods not just the current period also.
